AI Voice Agents after go-live: Finding problems before your customers report them

Contact centre AI is judged at launch but earns its keep in the months that follow. Apifonica explains the review discipline that keeps live AI Voice Agents improving - and what it found in its first accounts.

Most AI Voice Agent problems are invisible until a customer complains. Dashboards report call volumes, completion rates and containment, but they rarely show the caller who hung up because the language menu came too late, or the transfer that ended in silence. For customer experience leaders, the gap between what the metrics say and what callers experience is where trust in automation is won or lost.
The industry conversation still centres on launch: which model, which voice, how quickly a pilot can go live. Those questions matter, but they are settled in weeks. What decides whether an AI Voice Agent keeps earning its place in the contact centre is the operating discipline that follows go-live - and most deployments do not have one.
Why dashboards miss what callers experience
Analytics count outcomes. A conversation can register as handled while the caller leaves confused, and an agent can hit its containment target while quietly routing people through a flow they never understood. Averages absorb the failures that matter most: the caller who never found their language, the transfer that died in silence, the question the knowledge base could not answer.
The only reliable way to see these problems is to examine real conversations, one by one, with an analyst reading what actually happened on the line.
A review discipline, not a complaints queue
At Apifonica, client success operates as a dedicated stream inside the delivery team, built around a monthly analytical review. Each month, an analyst examines 30-50 real conversations from every account's live traffic, cross-checks them against the account's own analytics and prepares documented findings with improvement proposals. The findings are walked through at a monthly meeting with the client, and agreed changes are shipped as change requests in the following cycle.
The aim is proactive: to find problems before customers report them. Reviews are standard for Enterprise and Professional plans and available as an add-on for other clients.
What the first reviews found
One of the first accounts through the procedure was a multilingual inbound information line in the travel sector. A review of 9,000 conversations across two months surfaced three issues the dashboard had not flagged - callers dropping off before the dialogue began because language options were buried in a long welcome message, and transfers to human consultants timing out in silence after 20 seconds.
First, language options were buried in a long welcome message. The welcome played in a single language, so callers who did not speak it often dropped off before the dialogue began. It is now shorter and the language prompt comes first. In multilingual markets - the Gulf among them, where one information line may serve callers in Arabic, English, Hindi and Urdu - the order of the first ten seconds decides whether the conversation happens at all.
Second, transfers to human consultants timed out in silence. Previously, if no consultant answered within 20 seconds, the call disconnected without a word. The wait has been extended to 3 minutes, with a queue status update partway through and a clear closing message when no consultant is available.
Third, transfers arrived without context. Callers who ask for a human are now asked one question about the reason for their call, so the transfer routes to the right line and the knowledge base team learns which topics are missing.
None of these changes required a new model or a redesign. They required someone to read the conversations.
